We collect information you provide directly when you use our Site:

• Name — first and last name, used to search surplus fund records and identify your claim
• Email address — used to send claim confirmations, status updates, and (if opted in) fund alerts
• Phone number — used by our team to follow up on claim inquiries (optional)
• Property information — county, city/area, parcel ID if known — used to locate your surplus fund record
• Search queries — names or addresses you search on our database (stored anonymously for improving search accuracy)

We also collect limited technical data automatically:

• Pages visited and timestamps (for site analytics)
• Referring website (to understand how visitors find us)
• Browser/device type (for compatibility)
• IP address — stored only as a one-way SHA-256 hash; we cannot recover your actual IP address

2 How We Use Your Information

We use the information we collect solely to operate our surplus fund recovery service:

• Search our database to find surplus funds that may belong to you
• Contact you about your claim via email or phone
• Send confirmation emails when you submit a claim inquiry
• Send follow-up emails on days 3 and 7 after a claim submission with educational content and next steps
• Send fund alert notifications if you opt in to our email list
• Improve the accuracy and performance of our site

3 Email Communications

When you submit a claim inquiry, we send transactional emails via Postmark (a transactional email service). These emails include:

• A confirmation of your claim submission
• Educational content about the surplus funds claim process (sent approximately 3 days after submission)
• A follow-up update from our team (sent approximately 7 days after submission)

If you subscribed to fund alerts, we may notify you when new records matching your name are added to our database. You can unsubscribe at any time by contacting us at customerservice@dfhrs.com.

4 Data Retention

We retain your information for as long as is necessary to manage your claim and comply with our legal obligations:

• Active claim records — retained until your claim is resolved or you request deletion
• Email subscriber records — retained until you unsubscribe
• Analytics data — retained for up to 12 months in aggregate, anonymized form

You may request deletion of your personal information at any time by emailing customerservice@dfhrs.com.

5 Third-Party Services

We use a limited number of third-party services to operate the Site:

• Postmark — transactional email delivery. Your email address is transmitted to Postmark solely for sending emails you requested.
• Neon (PostgreSQL) — our database provider, hosted in the United States.
• Render — our web hosting provider, hosted in the United States.

We do not use advertising networks, social media trackers, or any third-party analytics that share data with advertisers.

6 Data Security

We take reasonable technical measures to protect your information, including:

• HTTPS encryption for all data transmitted to and from the Site
• One-way hashing of IP addresses — raw IPs are never stored
• Access controls limiting database access to authorized personnel only

7 Children's Privacy

Our Site is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has submitted information to us, contact us immediately at customerservice@dfhrs.com and we will delete it promptly.

• Request correction of inaccurate information
• Request deletion of your personal information
